Opportunity Overview

Reporting to the Consultant, Experiential, the Experiential and Fleet Coordinator is responsible to manage, plan and execute various experiential marketing and sponsorship activation projects; event logistics, including selecting, training and managing the in-field team, management of expenses, and post-event reconciliation, formal reports and presentations to clients.  The Associate Consultant, Experiential and Fleet is responsible for managing a national corporate fleet of marketing vehicles; working closely with the client’s logistics department to obtain quotes and coordinate vehicle shipments across the country to various Lumency supported events.

Duties and Responsibilities

Logistics & Event Planning (70%)

  • Assist in venue sourcing
  • Contribute to new ideas for projects and programs
  • Develop and track project workback schedules
  • Research and develop training documents for in-field team development
  • Oversee shipping, vendor, travel and accommodation logistics
  • Source program materials that align with client’s and program goals


Vehicle Management and Partnership Support (30%)

  • Strategically plan and facilitate vehicle fleet orders with client’s internal fleet administration team
  • Track and audit fleet unit inventory
  • Receive fleet incident reporting and insurance claims
  • Coordinate repairs, cleaning and service with dealers and preferred vendors
  • Develop fleet focused assets for the Lumency team (training material, collateral, legal, forms, keys)
  • Plan and facilitate basic vehicle training and attend new client product launch briefs and product training where required
  • Support and coordinate internal marketing events within the client’s office
  • Support creative requests for events
  • Connect with all Client Partners regarding the Partner fleet units.
  • Act as the main point of contact to all Lexus Partners


People Management

  • Conduct training for in-field team members on projects
  • Manage and support in-field team members throughout each project


Relationship Management

  • Support the ongoing cultivation of positive, partnering relationships with clients
  • Foster relationships with vendors and other agency partners
  • Understand client’s what, how and why statements
  • Maintain clear, open lines of communication with people manager, workgroup, and agency at large


Culture Cultivation  

  • Support ongoing development of a positive agency culture
  • Act as a Lumency champion in the marketplace


Other Duties as Assigned.



Post-secondary education in communications, marketing, automotive business and / or event planning.



6 months to 1 year of related experience in an event / automotive role.  

Automotive Knowledge (definite asset).


Other Qualifications

Certification / Coursework in Microsoft Excel and PowerPoint (an asset).

Full ‘Class 5’ or ‘G’ Driver’s License.
